Adequate business purpose descriptions with additional notes to offer supporting details:

The business purpose should provide a few detailed sentences to indicate Why the travel occurred, What the traveler did/business activities they were engaged in, and How the travel/business benefited the traveler/department/UO:

For Research

Example of appropriate research description:

“Research to be conducted in [INSTITUTE] Archives, the [INSTITUTE] Library, and the [NAME] Museum related to my book manuscript {WORKING TITLE]. I will be researching two individuals, [NAME] and [NAME] who were both instrumental in [TOPIC]. Their work is relevant to my project because [WHY]. This work will also provide subject matter for a conference paper/presentation in the Spring 2024. Research Log attached.”

For Conference Travel

Business Purpose

Provide the conference name and details related to any additional business days and how it benefits the UO—field trips, collaboration, etc.

“Traveling to attend the [NAME] conference.(Please spell out acronyms to lend context to the subject matter of the conference. Presenting in two sessions pertaining to (subject matter or name of presentation).”

Support Documentation

Conference travel must be accompanied by support documentation, which is attached to the Concur expense report using Expense Type: Other Supporting Documentation. See UO Travel Policy, Travel Expense Reimbursement, procedure box for Conference Travel.

  • Conference Agenda at a Glance (“…The IRS states that the convention/conference/meeting agenda or program generally substantiates the purpose of the conference/meeting and that attendance at the conference/meeting benefits the individual’s official duties and responsibilities of their position and helps document the travel expense. If this is not obvious, state the benefit or role…”)
  • If the hotel is over allowable per diem, include the conference negotiated hotel information (usually from the Hotel/Travel tab on the conference webpage
